Special Education Program Secretary

POSITION TITLE: Special Education Program Secretary

RESPONSIBLE TO: Superintendent of Education

REPORTS TO: Special Education Supervisor

QUALIFICATIONS:

• High school diploma or equivalent
• Experience in computer operations and in preparing reports
• Knowledgeable of Microsoft Office and McAleer Programs
• Ability to communicate effectively
• Experience in dealing effectively with the public

PERFORMANCE RESPONSIBILITIES/ESSENTIAL FUNCTIONS:

1. Place and receive telephone calls and record messages.
2. Prepare and submit monthly payroll for Special Education Staff.
3. Request materials and supplies.
4. Submit maintenance requests.
5. Maintain an up-to-date inventory file.
6. Type contracts for all contracted service providers.
7. Receive materials/equipment ordered by Special Education personnel and notify appropriate personnel when received.
8. Coordinate Child Count and Annual Data Report activities with Special Education Staff and Technology Department.
9. Serve as the Primary Contact for the Alabama Medicaid Administrative Claim Program Random Moment Time Study.
10. Copy special education students records and mail them to appropriate school systems and to the Social Security Administration upon request.
11. Maintain the electronic status of all special education students through STISets.
12. Retrieve information for various State Department reports through STISets.
13. Enter electronic data on required special education forms that pertain to the referral, eligibility, and reevaluation of students.
14. Assist psychometrics in scoring rating scales and other evaluation data.
15. Maintain records/files on active and inactive special education students.
16. Assist the staff in receiving and sending special education records on students who have transferred into/out of system.
17. Prepare typed reports on psychological evaluations when presented by the psychometrists.
18. Maintain the confidentiality of information as required by system policy.
19. Perform other clerical duties as needed.
20. Perform other duties as assigned by the local board of education.

JOB GOAL: To serve as program secretary of the Special Education Department in a manner which ensures an efficient and professional operation and to provide support and assistance to the Special Education Staff.
