Office Manager (Director of First Impressions)

Location: Charlotte, NC

About the Role

We are seeking a dependable, prompt, and intelligent Office Manager (Director of First Impressions) to be the backbone of our daily operations. This role is perfect for a professional “Jack or Jill of all trades” who thrives in a fast-paced environment, can anticipate needs without assuming, and requires minimal oversight. You will work closely with the Executive Team and have a direct impact on the growth and development of the company. Strong Excel skills and an analytical, forward-thinking mindset are essential.

Key Responsibilities

  • Manage daily office operations for a team of ~30 employees, ensuring a clean, organized, and efficient workplace.
  • Greet and host all guests, ensuring they feel welcome and promptly connecting them with the appropriate team members.
  • Maintain conference rooms, kitchen, and common areas throughout the day, including stocking and ordering supplies.
  • Assist with onboarding new hires, including equipment orders, workstation setup, and asset tracking.
  • Input and track complex expense reports with accuracy and attention to detail.
  • Track employee PTO and assist with ad hoc HR-related functions.
  • Process, distribute, and manage all incoming and outgoing mail/packages.
  • Run errands and support office needs on an as-needed basis.
  • Stay one step ahead of office operations—anticipating needs and proactively solving issues before they arise.
  • Post and share company content (blogs, videos, etc.) on LinkedIn and other social channels weekly.

Qualifications

  • 2+ years of experience in office management, administrative support, or a similar role.
  • Proficiency in Microsoft Excel ; ability to handle data and reporting confidently.
  • Strong organizational and multitasking skills with sharp attention to detail.
  • Excellent communication and interpersonal skills with a professional demeanor.
  • Self-starter who thrives independently and adapts quickly to changing priorities.
  • Reliable, dependable, and solutions-oriented.
