Position Summary:
The Administrative Services Assistant is responsible for assisting the Project Management, Operations Team and Clerical staff with the day-to-day tasks including but not limited to; ensuring the consistent and efficient flow of business; working as part of the team in a coordinated effort; operating under tight deadlines with precision speed, accuracy and reliability; able to continually adjust priorities to best serve the projects. Reporting directly to the VP of Operations, this role will also assist with efficient execution of operations tasks and the shifting needs of the office.
Key Responsibilities:
• Maintaining communication with vendors, customers, employees and leadership addressing issues in a timely fashion
• Assist with Operations, Project Management and clerical administrative tasks
• Ordering office supplies and materials
• Oversee daily office tasks and operations
• Planning and coordination of companywide employee engagement events, executive meetings
• Coordinate employee badging access and background processing for construction projects
• Oversee recording daily fuel log data
• Oversee the Samsara fleet operations platform
Experience, Qualifications & Education:
• Minimum five (5) years of administrative experience required
• Minimum five (5) years of accounts payable experience required
• High School Diploma or GED required
• Excellent verbal and written communication skills
• Thorough understanding of the business process, project management and operations
• The ability to operate under pressure in a fast-paced environment
• Strong problem-solving abilities
• Highly developed organizational skills
Pay: $20 - $25/Hourly - Classification: Regular, Full-Time
